SUMMARY
Reporting to the Recruitment Manager, the Volunteer Officer (AWE & CCEDM) is responsible for proactively searching the CESO database and matching CESO Advisors (CAs) to a high volume of assignment requirements for international programs. They will also be responsible for the deployment of CAs to different countries, providing excellent customer service while preparing them for their assignments. This position will support two programs and requires a high level of adaptability in working with / for different teams.
This position is currently a 1-year contract with the possibility of an extension. Work will be a hybrid format, working from home and in-office once a week in our Toronto OR Montreal offices. As such, we are seeking candidates in either the Montreal or Toronto area to start in September 2022.
KEY RESPONSIBILITIES:
Assignment Recruitment
- Sources and recruits suitable CAs from the CESO database to ensure all assignments are filled with the most suitable CA within the targeted time
- Develops a pool of qualified CAs in advance of need
- Contributes to special projects related to client service and CA recruitment
Roster Analysis & Development
- Contributes to and supports the design and implementation of CESO’s overall CA recruitment strategy
- Continually researches database against current and future assignment needs
Engagement and Relationship Management
- Provides excellent customer service to CAs during the recruitment and selection process
- Continually acts as an ambassador of CESO, promoting it as “best place to volunteer”
Deployment of CAs
- Ensure efficient pre-departure preparation and deployment and provide CAs with post-assignment feedback
- Partner with CESO’s travel agency to ensure best available travel is booked in compliance with Global Affairs Canada (GAC) requirements
- Ensure travel documents are valid and that CAs have completed all the necessary forms prior to their departure considering the country’s specificities
- Coordinate with In-Country Teams (ICT) to ensure effective travel logistics
- Provide detailed pre-departure briefings, including local customs, travel requirements, logistics and assignment preparation
- Prepare cheque requisitions for visas, advances, incidentals, and subsidies
- Manage advance requests and expense claims for CAs and liaise with the Accounting department to ensure timely process
- Manage post-assignment documents collection (i.e. expense claims, timesheets, reports) and follow-up on overdue items
- Enter and maintain up-to-date all necessary documentation and information into the database (Quickbase)
- Review relevant post-assignment feedback forms for quality and performance assurance and follow-up with CAs for de-briefing. Liaise with Program Managers and ICTs as needed (especially for reporting on issues)
KNOWLEDGE AND SKILL REQUIREMENTS
- University Degree or College Diploma, preferably in Human Resources Management or Business Administration; or equivalent. Knowledge of International Development is an asset.
- 3-5 years of experience working with volunteers
- Strong customer service skills. Confident in ability to listen to stakeholder needs and provide successful solutions.
- Understanding and experience using various recruitment and selection tools
- Ability to conduct interviews, both remotely and in-person, using different styles and techniques
- Culturally sensitive and capable of preserving confidential or sensitive information
- Effective time management, organization, and multi-tasking skills
- Excellent interpersonal and strong communication skills both written and verbal
- Excellent presentation skills and comfortable representing CESO at external events
- Strong team player, results driven and able to work well under pressure
- Strong decision-making skills
- Able to foster CESO mission and values
- Strong research skills and ability to produce reports and summary of findings
- Proficient in Microsoft Word, Excel, Outlook and database management
- Fluency in French and English is an asset
