About the Opportunity
The Payroll and Accounting Specialist ensures financial accuracy and efficiency by managing payroll, accounts payable, financial reporting, and tax receipting while ensuring regulatory compliance. Key duties include processing bi-weekly payroll via ADP TeamPay, reconciling payroll entries, managing statutory deductions, overseeing accounts payable, and maintaining financial records in SAGE.
Beyond core financial tasks, the specialist supports budgeting, forecasting, donor database management, and CRA tax receipting compliance. They assist with audits, IT budget monitoring, and electronic fund transfers. This role requires expertise in financial software (SAGE, ADP, Raiser’s Edge), payroll laws, and charitable regulations, with ideal candidates having nonprofit financial experience and strong analytical skills.
Key Responsibilities:
Payroll (20%)
Process bi-weekly payroll using ADP TeamPay, including new hires, terminations, and updates.
Calculate statutory holiday pay, taxable benefits, and LTD deduction amounts.
Prepare payroll sign-off sheets, obtain approval, and issue ROEs.
Set up ADP employees' online accounts and implement all statutory changes related to payroll.
Record staff donation amounts via payroll and import files to update Raiser’s Edge.
Prepare payroll journal entries and reconcile ADP registers with the General Ledger.
Reconcile T4, CPP, EI, WSIB, WCB, EHT, group insurance, and pension.
Manage WCB accounts for Ontario, Saskatchewan, Manitoba, Nova Scotia, and British Columbia; report and submit premiums, and perform annual reconciliations.
Accounts Payable (20%)
Oversee all accounts payable functions including record-keeping, seeking approval, vendor statement reconciliations, filing, archiving, and anticipating cash flow requirements.
Accurately record PST and GST, and submit appropriate refund claims to government agencies.
Verify travel and staff expenses for propriety and compliance with company policies, reconciling them against cash advances.
Record expenses accurately with proper backup and update the expense template as needed.
Manage credit card operations, including distributing Visa statements, compiling and reviewing credit card expense reports, and following up on discrepancies.
Handle the weekly EFT run, set up CMO pay transactions, create payee templates, and perform interbank transfers.
General Accounting Duties (15%)
Prepare journal entries for SAGE, including payroll, Wood Gundy FMV, revenue, allocation, amortization, and recurring entries.
Generate monthly revenue reports by GL account based on data provided by the Development department for journalizing in SAGE.
Perform monthly bank reconciliations for the General Account, Credit Card, Fundraising, PayPal and Investment accounts, ensuring that revenue recorded in Raiser’s Edge is deposited into the bank.
Reconcile gifts in Raiser’s Edge with bank deposits, explain variances, conduct investigations, and implement corrective actions.
Design or create Raiser’s Edge queries for investigations.
Establish month-end donations receivable based on various external reports (e.g., CanadaHelps, Blackbaud, Worldline, Stripe, PayPal, ITAS) and record gift processing fees including platform, merchant, and credit card transaction fees.
Open new accounting periods and complete year-end closing in SAGE.
Responsible for SAGE back up, upgrade and license maintenance.
Develop import templates for importing journal entries into SAGE.
Prepare year-end schedules for audit, provide necessary documents, address queries from auditors, and assist the Controller in completing the annual audit on time.
Provide timely and accurate support to the Controller for all aspects of financial reporting, requiring sound analytical and technical knowledge of finance and accounting.
Budget and Projections (15%)
Perform budget data imports into SAGE.
Create or modify budget/projection templates.
Assist in budgeting for gift processing fees and monitor the usages.
Develop and monitor IT budgets, tracking actual utilization.
Report on IT budget variances and provide recommendations.
Income Tax Receipting (15%)
Oversee tax receipting production, including online e-receipts and consolidated receipts.
Ensure compliance with Canada Revenue Agency (CRA) rules, regulations, and guidance to ensure that all tax receipts are issued in accordance with the Income Tax Act.
Establish and review controls for the integrity of gift data and tax receipting, reviewing receipt control logs quarterly for completeness and accuracy.
Reconcile gift totals to the receipted amount quarterly, analyze variances, and make necessary adjustments through the gift processing administrator.
Plan and oversee annual projects for consolidated receipts, including creating static queries and verifying that receipts generated match predetermined figures, addressing any discrepancies.
Document returned donated property over $50 and report to CRA quarterly.
Donor Database Support and Control (10%)
Provide full backup for the gift processing officer, including gift processing, e-depositing, and tax receipting, to ensure no business interruptions during their absence.
Provide backup support to the Data Administrator, including creating user accounts, constituent-based data, and modifying queries/reports as required.
Develop queries and reports for user departments to aid in data analysis and decision-making.
Ensure high-level control and integrity of the Raiser’s Edge system, assisting user departments in improving data availability and decision-making.
Reconcile gifts to the receipted amount, analyze discrepancies, and correct them through the gift processing officer.
Collaborate with external consultants and credit card gateway providers to resolve online donation issues or to establish new donation platforms.
Banking & On-Site Visits (5%)
Settle Forex transactions in the absence of the Controller.
Set up Electronic Fund Transfer (EFT) templates for vendor payments.
Make physical bank deposits as required.
Periodically visit CFTC’s Head Office to review incoming mail related to Finance, Administration, CEO, and HR, and forward it to the respective managers if necessary.
Qualifications:
Four to six years of experience in financial management, accounting, payroll administration, and accounts payable, ideally within a non-profit or charitable organization.
A Bachelor of Commerce degree (or equivalent) with a specialization in Finance/Accounting and relevant work experience. CPA designation (or active pursuit) is preferred.
Strong understanding of charitable regulations in Canada, Canadian payroll laws, ASPE and ASNPO standards, and CRA compliance for tax receipting.
Proficiency in SAGE (AccPac) accounting software and familiarity with QuickBooks, Simply Accounting, ADP payroll systems, and donor databases (e.g., Raiser’s Edge).
Experience in financial reporting, budgeting, reconciliation, and working with program teams and partner organizations. International financial management experience is an asset.
Experience working with Indigenous communities would be helpful, with knowledge of Indigenous history and cultures or willingness to learn.
Strong attention to detail, problem-solving abilities, and ability to work both independently and collaboratively in a team environment. Demonstrated ability to manage multiple priorities under pressure while maintaining a values-driven approach.
Willing and able to travel within Canada for short-term assignments as needed.
