Results Canada is recruiting a Finance and Administration Manager to join our dedicated team of staff in Ottawa. Reporting to the Executive Director, the successful candidate will oversee Results Canada’s financial operations, human resources, and office administration. The salary band for this position is $70K to $82K and includes a generous annual leave and benefits package.

RESPONSIBILITIES
Financial Administration (60 percent)
- Lead on financial management, updating accounts, reporting, and administration of Results Canada’s finances (via QuickBooks).
- Pay vendors, issue invoices, prepare monthly bank reconciliations, and complete bank deposits.
- Assist in budget development and tracking and prepare quarterly financial statements and other financial reports as required by the Executive Director and the Board.
- Oversee financial reporting requirements for grant reporting.
- Administer staff expense claims, including per-diems, advances, and re-imbursements.
- Support and act as lead liaison for Results Canada’s annual financial audit.
-Ensure adherence to financial policies and procedures.
HR and Office Administration (25 percent)
- Coordinate and provide general administrative services, including but not limited to; file management, ordering supplies and procuring equipment, and liaising with the building’s property manager.
- Manage IT coordination as key focal point for contracted external providers.
- Oversee HR administration, i.e., payroll and benefits plans, on-boarding, administering personnel policies and job descriptions, tracking staff leave, processing expense claims, etc.
- Work with Results staff on special project support, i.e., event coordination, travel arrangements, meeting logistics, etc.
- Supervise one part-time assistant.
Administrative Support for fundraising and resource management (10 percent)
- Monthly processing of donations via Donor Perfect.
- Logistical support for fundraising activities as required.
- Provide communications support to donors as required: thank you letters and tax receipts, coordination of mail-outs, etc.
- Monitor and track grant reporting deadlines, as required.
- Assist with the administration and activities of a charitable entity, as required.
Administrative Support to Executive Director (5 percent)
- Provide support as required to Executive Director, i.e., manage expense claims, provide administrative and logistics support, etc.
REQUIREMENTS
- Experience serving in an office financial/administrator/office manager role (min. 3 years).
- Experience using accounting software, including QuickBooks.
- Experience in financial administration (budgeting reports, invoicing, payments, etc.).
- Knowledge of Microsoft Office, Teams.
- Intermediate skills in Excel (at minimum).
- Dependable, with excellent interpersonal and communication skills.
- Ability to work under pressure and to adapt to changing priorities.
- Strong attention to detail and high level of accuracy.
ASSETS
- Experience working in a non-profit.
- Experience supervising staff.
- Experience with fundraising administration, especially using Donor Perfect or other CRM tool.
WORK ENVIRONMENT
Results Canada operates as a hybrid work environment with 14 staff (plus occasional interns and consultants) working from home and the Results Canada Ottawa office as required. This position requires a minimum of two full days in the Ottawa office.
