Hours of work: 27 hours/week

Applications are currently being accepted from highly motivated, results-oriented, professional self-starters to join Casa – Pueblito as Program Manager. This is a part -time employee position with 3 weeks vacation (pro-rated), in addition to the period between December 25th and January 1st. This position requires some evening and weekend work.

Casa – Pueblito is a non-profit, international organization that has facilitated community development and intercultural learning undertaken in the spirit of solidarity, sustainability, social justice, transparency and inclusiveness. Despite challenges and changes to our operational model in Nicaragua since 2018, we’re excited to embark on a new part of our journey as an organization through our recent partnership with Global Affairs Canada to implement our Gender Responsive Climate-Smart Agriculture in Nicaragua project from 2021 – 2026.

Job Summary:

The Program Manager is responsible for the day-to-day operations of the Toronto office. They will be responsible for effectively and efficiently overseeing all of the Toronto office’s administrative duties, including supervising the Administrative and Donor Relations Assistant. The Program Manager will act as the main point of contact for the Toronto office and has a key role in providing leadership related to the Global Affairs Canada Project and the day-to-day operations in Canada for Casa-Pueblito. The Program Manager will collaborate closely with the staff and Board of Directors on long-term strategic planning and special projects and events. This position reports directly to the Board Staff Liaison.

Responsibilities:

Related to GAC (Global Affairs Canada) project (10.5 hrs./week)

•Responsible for the ongoing collaboration of the Nicaragua and Toronto staff with the Country Director to ensure full and timely delivery of all GAC requirements and related work: timelines, reporting, communications, budgets, personnel, and other duties as required
•Works in collaboration with the Country Director to oversee and maintain the set-up of administrative infrastructure for the GAC project (contracts, timesheets, reports, communication with the GAC Project Officer, timelines and calendar of reports)
•Provides regular support to the Country Director in relation to GAC requirements, problem solving and deadlines
•Provide support to Canadian volunteers and students as required
•Oversees the regular communications of all matters relating to the GAC project
•Acts as the main point of contact with the GAC Project Officer
•Required to attend GAC and other related webinars, in-person meetings, committees and conferences when possible

General Casa-Pueblito duties
•Oversight of day-to-day Operations and Supervision (10.5 hrs/week)
•Maintains and oversee day-to-day operations in Canada
•Maintains and directs the overall work plan with staff in Canada (ensures that key events, communications and reports are carried out by staff, board or volunteers)
•Supervision and work-planning with Administrative Staff
•Provides regular support to Country Director, bookkeeper, admin staff
•Responsible for addressing personnel issues in collaboration with board and staff
•Communicates key information to Board of Directors
•Communicates with and responds to donors, funders and others who contact the office (students, schools, universities, NGOs and others)

Fundraising and Donor Relations
•Organize and deliver 3 direct mail appeals per year with staff team and volunteers (oversees timeline logistics, content, printer, mail-out and follow-up)
•Oversees the online Giving Tuesday campaign (includes setting timelines, logistics, content, scheduled emails and personal follow-up with donors)
•Prepares grant applications for existing funding bodies based on project backgrounders and information in coordination with the Country Director (OECTA, OTF, Lights On, trade unions, Danny Dearing, etc.)
•Writes reports for funders based on reports from project partners in Nicaragua

Donor Analysis and Tracking
•Monitors and tracks donors and donations with Toronto staff and supports the set up and maintenance of systems to better analyse and report on donors and income trends
•Works with admin staff to ensure updates and maintenance of donor management software, email, and credit card donor lists

Related to GAC and Casa-Pueblito

Communications (6 hrs/week)

•Website and social media publishing, with content developed in partnership with the staff team in weekly “storyboard” sessions including new pages, updating pages, images, and blogs.
•Ensures bi-monthly e-alerts go out to all on the email list with updates and news (using Mail Chimp)
•Publish monthly e-newsletters using MailChimp, with content developed with the staff team.
•Produce presentation materials using InDesign, Adobe Creative Suite or similar for items such as newsletters, event brochures and program reports in partnership with the staff team.
•Provide all communications elements related to the Global Affairs Canada program

Skills & Qualifications:

•A post-secondary degree in international development, non-profit management, fundraising management, or other related field
•Some experience in a non-profit, agency, government, or corporate environment
•Experience in international solidarity and/or global education
•Knowledge of and/or experience in Latin America, especially Nicaragua
•Intercultural competency and cultural sensitivity
•Commitment to principals of solidarity and social justice
•Excellent written and verbal communication skills, with attention to detail and accuracy
•Excellent public speaking and interpersonal skills with ability to deal with the public
•Strong organizational skills with ability to effectively coordinate multiple projects, meet deadlines, and set priorities
•Demonstrated ability to work independently with very little supervision, and collaboratively as part of a team
•Creative, flexible, and adaptable to change
•Proficiency in InDesign and/or Adobe Creative Suite as well as MS Office (PowerPoint, Word, Excel), Google docs & sheets

Assets
•Experience developing and writing funding proposals
•Experience developing and managing budgets
•Experience working with Global Affairs Canada
•Experience with development software Fundraising and Donor software such as GiftWorks
•Strong understanding of donor stewardship and engagement
•Experience with website creation/management platforms, such as Squarespace
•Experience in volunteer management
•Understand of best practices for social media (Facebook, Twitter, Instagram, and YouTube) and experience working with social media for professional purposes
•Previous experience working with a working Board of Directors
•Oral and written Spanish language abilities
•Knowledge of issues affecting Toronto’s Latinx diaspora communities and/or experience engaging with Toronto’s Latinx diaspora communities
